Administrative Clerk

Reports to: Human Resources Manager

Location: Hereford, Texas

Position Summary:

The Administrative Clerk is responsible for primary operational human resource functions and general office operations for the Plant front office. The Administrative Clerk is one of the faces of our organization, and therefore should have good people and communication skills in order to best work with our employees, people leaders, customers, and vendors. They are the front-line representative of the organization and exemplify the endeavors of the company by leading with the organizational core values. The successful candidate exudes excellent skills in customer service and is the front-line representative for all company endeavors.

Primary Responsibilities:

  • Facilitates communications between Human Resources and leadership at the factory level
  • Supports the facilitation of human resources by fax/file new hire information, insurance forms, write-up and all other personnel file information
  • Promotes employee development by supporting the JIT process for each employee
  • Schedule interviews and all other HR duties as assigned
  • Provide primary support for all employee pay and timekeeping actions, including managing weekly timecard and general employee data entry updates, Paid Time Off tracking, the communication of terminations and processing employee changes within ADP
  • Support, facilitate, and track all employee development programs JIT, forklift badge allocations, etc.
  • Provide administrative support to the Plant leadership including the inventory, tracking, and stocking of supplies and tools and resources needed for daily operations
  • Perform all general operational filing and organization of the facility business needs
  • Responsible for answering phones during business hours and communicating caller needs to the appropriate party
  • Responsible for submitting all approved incoming invoices for payment
  • Ensure all purchased orders are submitted to maintenance and provide clerical support for preventive maintenance request and entries.
  • Responsible for ensuring outbound product is properly documented per shipping procedures

  • Support the human factor in the factories by facilitating all state and federal requirements including FMLA, TWC, EEOC, etc.
  • Completes assignments accurately, in a timely manner, and within procedural guidelines
  • Communication regarding all inbound trucks and delivery times to Plant Leadership Team
  • Meets all Safety, Health, Quality and Environmental requirements when performing job duties
  • Support the organization of special events such as Christmas Party, employee engagement events, employee give backs and incentives, company communications, etc.
  • Book and prepare conference rooms for meetings and trainings.

Basic Qualifications:

  • High School Diploma or GED required
  • 1+ years clerical/administrative support experience required
  • Working knowledge of MS Office products is required to support accurate data entry

Preferred Qualifications:

  • Strong written and verbal communication abilities, excellent interpersonal skills
  • Proven organization and planning skills and ability to handle multiple assignments
  • Ability to understand, follow, and implement all policies to ensure compliance
  • Must possess excellent communication and problem-solving skills
  • Ability to work with minimal supervision, be self-directed and be a fast learner
  • Excellent customer service skills
